Tampa electronic document software company pivots in wake of pandemic • St Pete Catalyst

Based in Tampa In taskwhich is a branch of document lifecycle software organization Accusoft, has made significant changes during the pandemic, including downsizing its physical offices.

In 2020, the Tampa-based technology company launched OnTask, a business division focused on growing Accusoft’s document automation tool. Steve Wilson, who was vice president of products at Accusoft, became president and CEO of OnTask. OnTask differs from more than 20 other Accusoft products because it targets end users rather than developers. It is a workflow automation tool for small and medium businesses that need to send and fill forms digitally and get signatures on documents.

“It all started because we had over 1,000 clients and their contracts would eventually end up in a red folder on [Accusoft CEO Jack Belin’s] office. We solved our own problem and brought it to market,” Wilson said.

Although OnTask uses technology from Accusoft, the division operates independently with separate marketing, sales and engineering teams.

Since its inception, the division has worked with clients who needed documents to form letters of agreement or documents needed to set up a business, but the pandemic threw a curveball.

“OnTask exploded during the pandemic because many companies contacted us to follow up on vaccines for their employees. Tracking has taken us into HR organizations trying to reopen offices safely,” Wilson said, explaining how critical it is also for groups needing to travel to trade shows.

OnTask has added features such as automated reminders and ensuring employees get their second injection. The platform includes tracking documents ranging from employee vaccination records, Covid test results and waiver requests to their wellness status.

The pivot to address the unmet needs of HR groups hasn’t been the only change OnTask has undergone. The parent company has downsized and condensed its three Tampa offices into one physical building at 4001 N. Riverside Dr.

“The work-from-home model has quickly changed our minds, we realize we can be really productive working from home,” Wilson said. Teams typically arrive at the office on a rotating schedule.

As the peak of the pandemic has waned, vaccination tracking has become less prevalent, although it has opened more doors for OnTask to build new relationships with corporate groups. OnTask remains focused on its current offerings and how it can continue to progress.

“We can handle all the conditional logic and we are now looking at using AI or smarter capture to make decisions. One of the features is the ability to recognize certain fields in a document, so if you had a PDF and you want to scan it, people can detect where those blank fields are,” Wilson said of the latest innovation.

OnTask was one of many companies operating a booth at the poweredUp Tech Fest event held last week at the Mahaffey Theater in St. Petersburg.
